Inventory Management

WeedPOS provides comprehensive inventory management tools for Cannabis Social Clubs — covering product catalogues, real-time stock tracking, scale integration, batch management, and automated alerts.

Product Catalogue Structure

WeedPOS organises your product catalogue by category. Default categories include:

Custom categories can be added in Settings → Inventory → Categories.

Adding and Editing Products

To add a new product, go to Inventory → Products → Add Product. Required fields include:

• Product name and description
• Category
• SKU (auto-generated or custom)
• Unit price (price per gram for weight-dispensed products; price per unit for unit products)
• Stock unit (grams or units)
• Initial stock quantity
• Low stock threshold (alert trigger level)

Optional fields include THC/CBD percentage, strain type (sativa/indica/hybrid), origin, and supplier information.

Scale Integration

WeedPOS integrates with digital scales via USB or serial connection, enabling automatic weight capture directly in the POS interface.

Setting Up Scale Integration

1. Connect your scale to the POS workstation via USB or serial cable
2. Navigate to Settings → Hardware → Scales
3. Click Detect Scale — WeedPOS will scan for connected devices
4. Select your scale from the detected device list
5. Test the connection using the Test Reading button
6. Save the configuration

Using the Scale at POS

When a weight-dispensed product is added to a transaction, the POS displays a scale reading panel. The system reads the current weight from the connected scale and calculates the transaction price automatically. Staff can accept the reading or manually enter a weight if needed.

Stock Level Monitoring

WeedPOS tracks stock levels in real time as transactions are processed. The Inventory dashboard shows:

• Current stock level for each product
• Stock status indicator (In Stock / Low Stock / Out of Stock)
• Estimated days of stock remaining (based on recent sales velocity)
• Last restock date

Low Stock Alerts

When a product's stock falls to or below its configured threshold, WeedPOS:

• Highlights the product in red on the Inventory dashboard
• Displays a low stock notification on the main dashboard
• Sends an email alert to configured managers (if email notifications are enabled in Settings → Notifications)

Inventory Adjustments

Manual inventory adjustments (for stock counts, write-offs, or corrections) are made via Inventory → Adjustments → New Adjustment. Each adjustment requires:

• Product selection
• Adjustment type (Restock / Write-off / Correction)
• Quantity (positive for additions, negative for reductions)
• Reason / note

All adjustments are logged in the audit trail with timestamp and staff ID.

Batch Tracking

For clubs that require batch-level traceability, WeedPOS supports batch assignment at the point of stock intake. Each batch record captures:

• Batch ID / lot number
• Intake date
• Best before / expiry date (optional)
• Supplier information
• Initial quantity

The system applies a first-in, first-out (FIFO) approach by default when batches are enabled — older stock is drawn down before newer intake. Batches approaching expiry are flagged in the inventory dashboard.

Inventory Reporting

Key inventory reports available in WeedPOS include:

• Current Stock Value Report: Total inventory value at cost and retail prices
• Stock Movement Report: All stock additions, sales, and adjustments for a period
• Shrinkage Report: Difference between theoretical and actual stock, by product
• Slow Movers Report: Products with no or low sales activity in the past 30/60/90 days

All reports are exportable as CSV or PDF from Reports → Inventory.
