Reporting and Analytics
WeedPOS includes a comprehensive reporting suite that gives club managers real-time visibility into sales performance, member activity, inventory status, and staff productivity.
Dashboard Overview
The main WeedPOS dashboard provides a real-time summary of today's key metrics:
- Total transactions and revenue for the current day
- Member check-ins (today vs. same day last week)
- Low stock alerts
- Pending member registration approvals
- Recent transaction activity
Dashboard widgets can be rearranged and configured per user in Dashboard → Customise.
Sales Performance Reports
Access sales reports from Reports → Sales. Available reports include:

All date ranges are configurable. Use the date picker at the top of any report to select a custom period.
Member Activity and Engagement Reports
Member analytics are available from Reports → Members:
- Check-in Frequency Report: Visit counts per member, sortable to identify your most and least frequent visitors
- New Member Report: Members registered within a selected period, with approval status breakdown
- Member Retention Report: Active vs. lapsed member counts over time
- Renewals Due Report: Members with upcoming expiry dates within a configurable window
- At-Risk Members: Members showing declining visit frequency (AI-flagged, requires AI Analytics module)
- Member Spend Report: Total spend by member for a period (useful for loyalty tier assessment)
Inventory Reporting
Inventory reports are available from Reports → Inventory. Key reports include:
- Stock Snapshot: Current stock levels and values for all active products
- Stock Movement: All stock changes (sales, adjustments, write-offs) for a period
- Shrinkage Report: Theoretical vs. actual stock comparison by product
- Batch Expiry Report: Batches approaching their best-before date
- Slow Movers: Products with no sales in the past 30/60/90 days
Staff Activity Reports
For managers monitoring staff performance:
- Staff Login Log: System access log showing login times and duration
- Transaction Log by Staff: All transactions processed by each staff member
- Void and Refund Report: All voided transactions and refunds, by staff member
- Discount Authority Report: Discounts requiring manager override, and who approved them
Scheduled Reports
Configure automatic report delivery by email from Reports → Scheduled Reports. Available schedules include daily, weekly, and monthly delivery. Each scheduled report can be sent to one or more staff email addresses.
Recommended scheduled reports: Daily Sales Summary (daily, 8am) and Renewals Due (weekly, Monday morning) are the most commonly configured scheduled reports.
Data Export
All WeedPOS reports can be exported in the following formats:
- CSV: Compatible with Excel, Google Sheets, and accounting software import
- PDF: Formatted for printing or archiving
- JSON: For programmatic integration with other systems (requires API access)
Export buttons are available at the top of every report page. Exports are processed immediately for reports covering up to 12 months of data.
Custom Report Builder
The custom report builder (Reports → Custom → New Report) allows managers to create ad-hoc reports by selecting:
- Data source (transactions, members, inventory, staff activity)
- Fields to include as columns
- Filter conditions (date range, member tier, product category, staff member)
- Grouping and aggregation (sum, count, average)
- Sort order
Custom reports can be saved and added to the scheduled reports queue.
Report Access by Role
Role-based report access: Budtenders can view limited sales reports for their own transactions. Full reporting access (all reports, all staff members, financial data) is restricted to Manager and Owner roles by default. Access can be customised in Settings → Staff → Roles.
